About The Role
We are looking for a highly organised, proactive and dependable Personal Assistant to the Chairman to provide executive, organisational and governance support across the Group.
This role goes beyond traditional PA responsibilities. You will help the Chairman maintain oversight of key priorities, governance matters, actions and deadlines, ensuring that important matters are properly coordinated, followed up and brought to conclusion.
The role involves regular interaction with the Chairman, senior management, directors and key functions across the Group.
Key Responsibilities
Managing the Chairman's diary, meetings, correspondence and priorities, including coordinating meetings with subsidiary Boards, senior management, ExCo members and other Group functions
Assisting the Chairman in monitoring matters arising under the Group Governance Framework, including agreed actions, reporting obligations, KPIs, escalations and matters requiring follow-up
Maintaining an effective action and follow-up system, ensuring that decisions, commitments and outstanding matters are tracked and that the Chairman is alerted where deadlines or deliverables are approaching or overdue
Coordinating the timely receipt and organisation of management information, Board papers, governance reports, financial information, compliance/risk reporting and other material submitted to the Chairman
Assisting in preparing meeting agendas, briefing notes, presentations, correspondence and other documentation required by the Chairman
Following up, on behalf of the Chairman, with senior management and other relevant individuals on agreed actions and outstanding information
Helping maintain visibility over the Group's governance calendar, Board and committee meetings, regulatory and corporate deadlines and other significant Group events
Organising information and documentation in a manner that allows the Chairman to readily identify matters requiring review, decision, escalation or intervention
Providing general executive and administrative assistance to the Chairman across the full range of his responsibilities within Mellifera Holdings Limited and the wider Group
Handling sensitive and confidential information with the highest level of discretion and professionalism
What you need to succeed in this role
Highly organised, proactive and dependable, with excellent attention to detail
Confident working with and following up with senior management, directors and other stakeholders
Strong sense of ownership, with the ability to anticipate requirements and ensure actions and deliverables are completed
Able to understand business context and priorities rather than simply perform administrative tasks
Excellent communication skills, both written and verbal
Sound judgement, discretion and professionalism when handling sensitive and confidential information
Able to manage multiple priorities and deadlines independently in a fast-paced corporate environment
Previous experience as a Personal Assistant, Executive Assistant, Executive Coordinator or similar role supporting senior executives or Board members
Experience in financial services, fintech or payments is a significant advantage, particularly exposure to Electronic Money Institutions, acquiring, issuing or payment services
Familiarity with Jira or similar task-management tools is a strong plus
Strong proficiency in Microsoft 365 and other common corporate tools
Fluent in English with additional languages considered an advantage
Based in Malta, with flexibility to work in a hybrid environment
