This vacancy has arisen within the Technical Projects Department.
Purpose of Position
To support the Cost Controller & Quantity Surveyor and the Technical Projects team in the commercial, financial and contractual administration of the Company’s CAPEX projects. The role assists with quantity surveying, payment certification, cost control, contract administration, procurement coordination, budget monitoring, cash flow forecasting, and project cost reporting.
Main Responsibilities
Quantity Surveying & Commercial Administration
Assist in reviewing and administering Interim Payment Applications (IPAs), Interim Payment Certificates (IPCs), and Variation Orders (VOs).
Support the preparation of cost estimates, valuations, final accounts and commercial assessments.
Review contractor and consultant submissions and maintain accurate commercial records and registers.
Liaise with Project Managers, consultants, contractors and suppliers on commercial and contractual matters.
Payment & Invoice Administration
Coordinate approval workflows for payment certificates, variations, invoices and commercial submissions, including the required approvals and signatures.
Track contractor and consultant invoices from submission through approval and payment.
Liaise with Procurement and Finance to support timely processing and maintain payment, invoice and certification registers.
Cost Control, CAPEX & Reporting
Monitor project costs against approved budgets and CAPEX allocations.

Maintain cost trackers, commitments, expenditure records, forecasts and cash flow projections.
Assist with cost reconciliations, budget reviews and variance analysis.
Prepare project cost status reports, dashboards, CAPEX updates and management summaries.
RFQ, Tender & Contract Administration
Assist in issuing RFQs and administering tender processes.
Prepare commercial comparisons and tender evaluation summaries.
Maintain contract registers, track contractual obligations and support document control.
ACC Cost Management Administration
Create and maintain budget line items in the ACC Cost Management module in accordance with approved budgets.
Allocate commitments, purchase orders, invoices, IPCs and actual costs to the appropriate budget line items.
Register and maintain contracts and purchase orders, input payment application summaries and track VOs as change orders.
Maintain accurate project cost, commitment, forecast and cash flow data and support financial reporting through ACC.
General Project Support
Maintain project documentation, reports, registers and correspondence.
Assist in preparing management reports and presentations and support the Technical Projects team with project coordination and administration.
